ArtsBusXpress is a unique initiative that raises money in the community to underwrite arts field trips for K-12 schoolchildren in San Diego County.  Buses are secured by the teachers through their District's Transportation Department.
 
Due to the uncertainties in the State Budget, ArtsBusXpress is re-evaluating our bus grant approval policies for the current school year.  You many continue to submit applications but they may take longer than usual to be approved and the grant amount may change.
 
Here are some important Guidelines for submitting a Bus Grant:
 
Grants to schools in San Diego Unified School District (San Diego City Schools) will be awarded a maximum bus grant of $150.00 per bus.
Grants for all San Diego county and private schools will be awarded a maximum bus grant of up to $350 per bus.
Complete a Bus Grant Application and submit it on-line.
Submit your Bus Grant request at least three months before field trip. Grants received past the deadline may be declined.
You will notified of ArtsBusXpress' decision within two months (60 days) from the date scheduled for your field trip.
Grants are made on a first-come, first-served basis and we encourage you to apply in advance of your desired trip.
For grants that are awarded, an invoice must be submitted to ArtsBusXpress for reimbursement within forty-five (45) days of the date the field trip was completed.  ArtsBusXpress will reimburse invoice within ninety (90) days of receipt.
Schools schedule field trips and field trip transportation according to their district policies, and teachers are asked to contact their schools transportation department to arrange for the buses.
ArtsBusXpress does not have a bus and provides only the funding to cover schools transportation costs.
ArtsBusXpress cannot assume any unexpected costs resulting from trip delays or changes in schedules, and does not pay late fees.
Proposed fieldtrips must align with San Diego City and County Schools District standards, and educational goals need to be clearly presented by the teacher on the Bus Grant Application.
After the trip teachers are encouraged to send student letters, drawings, digital photos and poems about their arts experience to ArtsBusXpress. These inspire new donors to keep the buses rolling. Bus Grant Guidelines

 

ArtsBusXpress (ABX) funds transportation to the arts and sciences for San Diego County K-12 students.  Please review the following information to ensure your application receives full consideration. 

Guidelines

1. Bus Grants are approved based on a first-come, first-served basis and for the compelling type of field trip planned for the benefit of the students’ overall educational development. 

2. Funds are limited and not every bus grant application can be approved.  You may also receive partial funding for a trip.

3. ABX does not have a bus and only provides funding to cover transportation costs associated for an approved field trip.

4. Proposed field trips must align with San Diego City and County Schools District standards. Educational goals need to be clearly presented by the teacher on the Bus Grant Application below.

5. ABX is not liable for any unexpected costs resulting from late cancellations, trip delays or changes in schedules, and does not pay late fees.

6. Submit your Bus Grant application at least four weeks before the date of your planned field trip.  Grant applications received in less than four weeks of the planned field trip will be considered on an exception basis only and most likely will be declined.

7. Information you will need before starting your application include:

a. Teacher contact information (name, phone, email).  Please note we may need to reach you after school hours.
b. Bus yard contact information (name, phone, email)
c. Number of students. 
d. Name of other teachers participating
e. Number of chaperones (most venues allow for 1 adult per 8 children). Chaperones may be required to drive their own vehicles to ensure their children have a bus       seat.
f. The estimated cost of a bus load of children. 

8.  To obtain the estimated cost of a bus load, contact your bus yard or school administrator.  Depending on their grade level, up to 64 children per bus load.  If you do not have a bus yard, contact a private carrier.  

Approval Process

1. Upon submission of your “bus grant” application, you will receive an email within three (3) business days confirming receipt of your application. 

2. The ABX Executive Committee will review your application for completeness.  You will receive an email from ABX notifying you of our decision within two weeks (10 business days) from the date your application is received.

3. As soon as you receive approval of your “bus grant,” contact the bus yard or private carrier to confirm number of buses required, date, destination address, pick up and return times.  Inform the carrier to send their invoice to ArtsBuxXpress via email at info@artsbusxpress.org or to the address below. 

4. Please request an invoice from the district office, school or directly from the bus yard or private carrier to be sent to ArtsBusXpress by email or regular mail for payment within forty-five (45) days of the date the field trip is completed.  ArtsBusXpress will pay invoices within thirty (30) days of receipt.  For invoice amounts greater than the approved funding, the school is responsible for the difference.  Be sure to follow your district policies in issuing invoices.
